Payments, Due Dates, and Refund Policy

Securing Your Date

Your wedding date at Main Street Manor is not reserved until two things are complete: a signed Manor Rental Agreement and payment of the Reservation Deposit in full. Until both are received, the date remains available to other couples.

Reservation Deposit

$750 per day booked is required as a Reservation Deposit to reserve your date(s). The Deposit is earned by the Manor the moment it is received and is not a pre-payment of rent, but the consideration to remove your date from our calendar and hold it exclusively for you. If the conditions in the agreement are met, it will be credited to reduce the guest's final settlement.

Deposit Schedule:

1 day bookings: $750

2 day bookings: $1,500

 

Payment Schedule

The following are all due no later than one (1) month before your wedding date:

Remaining rental balance  —  your total base rate minus the Deposit already paid, plus any approved add-ons and applicable Kentucky sales tax

$400.00 Damage Deposit

$200.00 Cleaning Fee

Proof of event liability Insurance (see Insurance section below)

If any of the above are not received by the one-month deadline, the Manor may cancel the reservation and retain all amounts paid. Important: No payment made within one month of the event date will ever be refunded, as costs for your event will have already been committed.

 

Reservation Deposit — Non-Refundable

The Reservation Deposit is non-refundable in all circumstances, with two narrow exceptions:

(1)  The Manor cancels the event for reasons that are solely the Manor's fault (see "Cancellation by the Manor" below), or

(2)  A Force Majeure event makes the wedding impossible to hold and rescheduling is not feasible within twelve months (see "Force Majeure" below).

In every other situation — including a Guest-initiated cancellation, a change of plans, or a cancellation more than four months in advance — the Deposit is not returned as cash. It may be applied as a credit as described below, but it is never refunded directly. ​If the event proceeds as scheduled and all obligations under the Rental Agreement are met, the full Deposit is credited toward your final balance owed.

 

Damage Deposit — $400.00

The $400.00 Damage Deposit is due one month before your event and is fully refundable, provided no damage to the Manor, its furnishings, fixtures, or property is identified after the event. The Manor will return the Damage Deposit within one (1) month after the event date. If any deductions are made, you will receive an itemized statement explaining the costs. If the cost of repairs or restoration exceeds the $400.00 Damage Deposit, the Guest is responsible for the remaining balance, due within ten (10) days of written notice. ​If you cancel before the event: The Damage Deposit will not be collected. If it has already been paid at the time of cancellation, it will be refunded in full.

 

Cleaning Fee — $200.00

The $200.00 Cleaning Fee is due one month before your event. Once paid, the Cleaning Fee is non-refundable — with one exception: if the Manor cancels the event for reasons attributable solely to the Manor, or if a Force Majeure event makes the event impossible, the Cleaning Fee will be returned in full. The Cleaning Fee covers standard post-event cleaning only. It does not cover extraordinary cleanup such as bodily-fluid remediation, removal of glitter, confetti, wax, or smoke residue, or disposal of excessive or unsanitary waste. Any such costs will be charged separately and may be deducted from the Damage Deposit or billed directly.

 

Cancellation by Guest

All cancellation notices must be submitted in writing — email or text message is acceptable. A cancellation is not effective until the Manor confirms receipt in writing.​

Cancelling Four (4) or More Months Before Your Wedding Date

If you cancel four or more months before the original event date, the Reservation Deposit and all other amounts already paid will be held by the Manor as a 100% credit toward a future booking. The credit must be used for a new event at the Manor occurring within twelve (12) months of the original wedding date, subject to availability. No portion of amounts paid will be refunded as cash. If the credit is not applied to a future event within the twelve-month window, it is forfeited.

Cancelling Less Than Four (4) Months Before Your Wedding Date

If you cancel fewer than four months before the event date, the following applies:

The Reservation Deposit is forfeited.

50% of the remaining rental balance — the portion of the base rate due after the Deposit — becomes immediately owed to the Manor.

All amounts already paid are non-refundable.

No credit toward a future event is available.

We understand this is a difficult situation, and we do not take these terms lightly. Because a cancellation inside four months leaves us with very limited ability to rebook the date, these terms are necessary to protect the Manor's ability to operate. 

 

Rescheduling

A request to move your event to a different date is treated as a cancellation of the original date and a new booking of the requested date. The same thresholds apply: Request received four (4) or more months before the original date:  100% of amounts paid carries forward as a credit toward the new date, subject to availability and current rates. Request received fewer than four (4) months before the original date:  The late-cancellation penalty applies.

All rescheduling requests require the Manor's prior written approval and are subject to availability and rates in effect at the time of the request.

 

Cancellation by the Manor

If the Manor must cancel your event for reasons attributable solely to the Manor — such as a double-booking, facility closure, or other Manor-caused issue — we will notify you promptly and refund all amounts paid in full, including the Reservation Deposit. No cancellation fee will be charged to you, and we will make every reasonable effort to assist you in finding an alternative date or arrangement.

 

Force Majeure

Neither party is in breach if the event cannot be held due to circumstances beyond reasonable control — including natural disaster, fire, flood, severe weather, epidemic, pandemic, utility failure, or government-ordered restriction.

If a Force Majeure event makes your wedding impossible to hold as scheduled, we will work with you in good faith to reschedule to a mutually agreeable date within twelve (12) months of the original date at no additional cost. All amounts paid, including the Reservation Deposit, will be applied as a 100% credit toward the rescheduled event.

If rescheduling within twelve months is not feasible after good-faith efforts by both parties, the Manor will refund all amounts paid in full — including the Reservation Deposit. This is the only circumstance other than Manor-fault cancellation in which the Reservation Deposit may be returned as cash.

 

Event Insurance

Special event general liability insurance is required for all weddings at the Manor. 26 Cents LLC d/b/a Main Street Manor must be listed on the policy as an additional insured. Proof of insurance is due no later than one month before the event.

 

Limitation of Liability

The Manor's liability for any cancellation-related claim is limited to the return of amounts actually paid under these terms. The Manor is not responsible for consequential or indirect losses arising from a cancellation, including but not limited to vendor deposits, travel costs, or other third-party expenses.

We understand that weddings are one of the most important events in your life, and we are committed to being fair and communicative if issues arise. These terms are governed by the laws of the Commonwealth of Kentucky. If a dispute cannot be resolved through direct communication, the parties agree to attempt resolution through good-faith negotiation and, if needed, non-binding mediation before pursuing any formal legal action.
